Profit and Loss, Balance Sheet and Ledgers: Know Where Your Shop Stands

Calculator, charts and papers on a desk - profit and loss and balance sheet reports for a retail store

A busy counter does not always mean a profitable shop. Real profit is what is left after the cost of goods, expenses and returns - and you can only see it if everything is recorded in one place. Znex POS keeps accounts alongside billing, so the numbers owners need are available without a separate accounting package.

Start with ledgers and journal entries

Every customer, supplier and expense head has a ledger. Customer bills and supplier bills post to these ledgers, and journal voucher entries let you record adjustments that are not sales or purchases. This is the foundation for every statement that follows.

Track expenses as they happen

Rent, salaries, electricity and other costs reduce profit even though they never appear on a sales bill. An expense entry report shows what you spent and on what, so nothing is forgotten when you calculate the month.

Profit and loss, including item-wise profit

The profit and loss statement shows income against cost and expense for the period you choose. An item-wise profit and loss report goes further, showing which products actually earn money and which only look busy. That helps you decide what to stock more of and what to stop buying.

Balance sheet and daily closing

The balance sheet lists accounts under their sections so you can see what the business owns and owes. At the end of each day, the day-end report summarizes the day, which makes cash and sales easy to match against the drawer.

Money in and out with customers and suppliers

Customer payment, supplier payment and credit customer reports show who owes you and whom you owe, so collections and payments are never guesswork.
